How the shop office works

The browser hub issues tickets. ServiceValet on the iPhone does the work. English is what the office reads.

The shop office is the web hub at intrepidmarine.net/servicevalet/login. Managers run customers, job sites, tickets, and the week board in a browser. Techs on site carry ServiceValet. They share one work-order package (.msworkorder). The office does not replace the iPhone app.

Sign in, or create a firm, from that login page. A sample shop is there so you can click around. Demo passwords are not published on this site.

Customer calls the shop → desk opens a ticket on the job site
↓ assign a worker, appointment, meet-at
Office sends the ticket to the phone (text pickup, email file, or enrolled Pull all)
↓ tech works the job on ServiceValet
Notes, photos, and costs come back on the same work order
↓ desk reads English, invoices, archives

1. Sign in

  1. Open the shop office login.
  2. Create a firm (confirm the email link) or use the sample shop on that page.
  3. Every real sign-in asks for a second factor. Prefer Google Authenticator (scan a QR once, then a rotating code) from the App Store or Google Play. You can also email a six-digit code. The sample shop is the exception so you can tour the hub.
  4. Forgot-password and staff invites use the same email + code pattern. There is no operator reset console.

Office 2FA is for the browser. Phones and iPads do not sign in with that email. Enroll them by sending work order 00 — see Enroll a phone.

2. Office logins vs Workers

Office loginsWorkers
Who Desk staff in the browser hub Employees, contractors, and other techs who opted in
Where Office → Office web hub logins (invite) Workers panel — name, mobile, email
Phone Optional Mobile on the roster so tickets can be texted

A new firm includes one phone seat. An enterprise license unlocks the roster. Spelling on the panel is Workers.

The office host texts workers only — not customers from the server. Details: Who we text.

3. Customers and job sites

  1. Add a customer.
  2. Add one or more job sites. A customer with more than one site has a default site.
  3. Open a ticket on that site: kind, phase, status, problem, appointment, assigned worker, meet-at.

Firm definition turns on the same industries and trades as the iPhone app so ticket Kind pickers stay short. Photos and PDF documents can live on the ticket or in the customer archive (grouped by job site).

4. A day on a ticket

  1. Create the ticket from the customer/job site, or from the board.
  2. Set appointment, worker, and where to meet.
  3. Log communications — every call, email, text, or walk-up belongs on the ticket (direction, how, one-line summary, notes). Newest first. Reminder emails also land here.
  4. Costs — parts, labor, expenses. Firm shorthand jobs live under Packages (code, title, kind, hours, rate). On the ticket choose a package → Add package.
  5. Send the ticket to the phone (next section).
  6. When the field return arrives, read notes and photos, finish billing, then Archive. You can download ticket photos as a zip.

About 24 hours before the appointment, the hub emails the customer (if they have email) and texts a cell that is marked for reminders. The message has when, where, and the worker’s name and number. There is no separate “send reminder” button.

About one hour before, ServiceValet opens Customer text on the assigned iPhone. The worker picks On time, Running late (~20 min), or Problems — reschedule. Messages opens with the cell number and those words, filled with the job site. The worker sends it. Not now dismisses that appointment. This picture is the MarineServiceTech phone on a boat job. The three choices are the same.

iPhone Customer text sheet one hour before the appointment: On time, Running late about 20 minutes, or Problems — reschedule

5. Schedule board

The week board is the same who / what / where idea as ServiceValet Schedule. Drag tickets between days and phases. iPad-friendly in the browser as well as in the app.

6. Send work to a phone

Three ways. All of them move the same .msworkorder package the iPhone already knows how to import.

HowWhat the tech does
Text a pickup link from the ticket Opens the link, shares/opens the file in ServiceValet. Nothing is overwritten.
Email the .msworkorder attachment Same import on the phone.
Enrolled phone — Pull all from yard Jobs and Transfer. Pulls this tech’s office-issued tickets (name on Firm profile matches the assignee). Phone-created jobs stay on the phone until someone imports them.

Enroll the iPhone or iPad: after the worker replies Y, Workers → Text 00 enrollment. They open that pickup in ServiceValet. Work order 00 is not a job. Step-by-step: Enroll a phone with work order 00. Office 2FA (Google Authenticator) is only for the browser.

A job the tech creates on the iPhone does not appear in the office until that package is returned (share sheet or enrolled PUT). Office-issued tickets are the ones Pull all downloads.

7. What comes back

The return is the same work order: problem, identification, testing, action taken, progress notes, photos, costs. If the tech dictated in Spanish with Spanish → English mode on, the office sees English in those fields — never untranslated Spanish on the ticket, PDF, or package.

Set that up on the iPhone before the first bilingual job: Spanish dictation, English on the ticket.

8. Firm look

Each firm keeps its own logo and two colors. Letterhead on PDFs comes from Firm. Public URLs stay on https://intrepidmarine.net/servicevalet/… unless the shop reverse-proxies the hub on its own domain. Do not put a private server address on a ticket or in an SMS.

9. Your own website

Most shops sign in at intrepidmarine.net/servicevalet/login. Put that URL on the firm’s own website as a button or menu item. Staff leave the marketing site and run ServiceValet here. Pasteable HTML and an optional Apache redirect: Link the office hub from the firm’s website.

Dedicated hosting on the firm’s own hostname is arranged with Intrepid Marine LLC.
